CALL FOR SPECIAL SESSIONS

The ARCAI 2024 organizers sincerely invite internationally reputational experts and researchers to propose Special Sessions (SSs)within a general scope of the conference.

Special Sessions target presenting the details on emerging topics and advances to the robotics, control and AI communities. These sessions will significantly broaden the knowledge and vision of attendees, facilitating them the recent developments and advances in the ARCAI domain. We strongly encourage application-based Special Sessions with a focus on fields of critical importance to our society and community, as well as inter-disciplinary topics in order to establish links with other research communities.

Upon approval, the SSs Organizers will publicize the Special Session among researchers and practitioners in the field and attract sufficient number of papers. Papers submitted to special sessions will be peer-reviewed as regular papers. The SSs organizers of the respective special session are responsible for organizing the review process, assuring at least three reviews per paper. A good quality paper may be considered for publication in several SCI journal special issues subjects to further rounds of review.

  1. Success of SS:  At least 6 accepted & registered papers with authors from at least 2 independent institutions (other than the organizers institutions) should be required for each SS. If too few papers are included in that SS, accepted papers will be re-allocated to regular sessions. For those weakly organized SS, the conference organizers will support the organizers with advice but reserve measures, including cancellation of the respective special session.

  2. Free Registration: At least one organizer of the successful SSs should register, attend the conference, and chair the corresponding SSs. One complimentary full registration will be provided to successful Special Sessions with at least 6 papers not authored by any of the organizers. 

  3. Conflict of Interest (COI): Before the review starts, SSs organizers must explicitly declare papers having COI. A COI occurs where the judgement of a paper quality will be affected by the organizers being authors or having relationship with any of the co-authors. To ensure rigorous independent reviews, this conflict must be clarified in the submission system and the SSs co-Chairs notified, such that the rigorous review process can be arranged.

  4. Requirements: The SSs Organizers must consider the following requirements: (i) An individual cannot be (co-) author of 2+ papers submitted to the same Special Session. (ii) Papers from organizers cannot exceed 60% of the contents of the Special Session. (iii) An individual can be (co-)organizer of maximum two SSs. 

  5. Session Chairs: When a special session is approved by the conference, SSs organizers will serve as the Session Chairs in the conference. In some unexpected scenarios, Technical Program Chairs and Conference General Chairs may appoint the Session Chairs, if the SSs organizers cannot attend the conference.

  6. Proposal Details: SSs proposals should be submitted via the Special Session Proposal Form, including:

  • The Special Session Title

  • Brief description of the area of concern (100-150 words), with special focus on specific technical areas and highlight the targets and motivation.

  • The name and contact information of two or more SSs organisers, who are willing to promote and organise enough quality submissions to the special session.

  • The background of the organisers and short CV of the proposers.

  • A list of potential authors with their affiliations.

  • A list of potential reviewers with their affiliations (no less than 20).

  1. Please send your proposal in PDF format to the Conference Email (arcai2024@gmail.com).

  2. SSs proposals will be accepted from January 15, 2024 until April 1, 2024. We encourage early proposal submission to receive early decisions and higher number of paper submissions.

  3. The submission and decision making for SSs are ongoing until the deadline. Decisions are made as soon as possible.
